Biz-Pals,

The new treasurer will have to open a bank
account in ASP-AFG's name. They'll be provided
documentation with our tax ID number. I was
able to get an account with no service fees,
though that may not be the case with a new bank.

A Post Office Box will also have to be opened
in ASP's name to receive mailed donations from
members. I was able to get one at a Post Office
on the way home from work so I didn't have to
make extra trips to pick up the mail. Once
a week worked out fine and even once every two
weeks on occasion.

Then there are the PayPal donations. The PayPal
account is linked with the bank account, so making
that change along with the names of those with
access may be possible. I'll take another look.
Once a month I transfer the PayPal balance into
the bank account.

Once a month a Treasurer's Report is posted to
the group. I use the monthly Bank Statement as
the basis for my reports. The original of the
Bank Statement gets mailed to the List Administrator
who verifies that the statement and the published
Treasurer's Reports and Register on the website
match up.

The new Treasurer will have to download OpenOffice
software (free)to manage the Treasury Register and to
record donations and debits. Not a big deal. A couple
times a month I send the Webmaster an updated Register
which then gets posted on ASP's website for all to see.

Also, an occasional announcement to the group that
the basket is being passed with addresses where
donations can be sent.

Once in a rare while there is a check that needs written.
Answering occasional questions - usually about PayPal.

All-in-all - once accounts get set up and running - the
position takes on average an hour or so a week plus an
hour or so once a month to put the reports together.
Five hours a month tops.

The Treasurer is responsible for a tidy sum and it goes
without saying - but I'll say it - must be completely
trustworthy and willing to answer all questions so that
the membership is assured that their donations are used
solely for ASP's agreed-to purposes.

That's about it. Pretty easy work and you get notes
from all around with some of the donations as a perk.

It goes without saying that I'll be available to help
the new Treasurer should they request it.
