Hi all,
I asked that this item be put back on the agenda. Both the private and
public ASP websites were approved by the steering committee in early 2015.
A few months ago, Steve said the Business Meeting should approve the
website. When we talked about this in May, several people said let's just
vote already, so I would like to give this meeting the opportunity to do so.
>From the beginning, I invited feedback and collaboration on both sites. I
cannot tell you how frustrating it is for me when people imply otherwise. I
have explained all of this repeatedly but for some, it seems to have fallen
on deaf ears.
Here is the text of my email to the Business Meeting in May which includes
links to documents showing how things were changed and approved. Please
judge for yourself.
Hi all,
Sandie asked me to write an introduction to the website topic. I sent it to
her and she forwarded it to the Business Meeting. This is why my name
appeared at the bottom in addition to the text of the introduction.
I will include it again here. Apparently, we can't attach documents and
send them to the Business Meeting, so I created a page on the member site
to access them: http://asp-afg.org/members/business-meeting-documents/ This
can be deleted or reserved for future use.
The question as to why this is on the agenda has been raised. Sandie posted
a link to the Service Structure of ASP. In the past, the Steering Committee
approved the website as well as any changes, though my understanding is
that there was only one change since the old member site was approved in
2006.
The reason this has come to the Business Meeting is because of a discussion
in the Steering Committee. The approval of the new site was questioned.
Steve said that the Business Meeting should approve all changes--something
that had never occurred before. Laura decided that putting this on the
agenda for the Business Meeting would put the issue to rest because if
approved, this would go on the record. Currently, the only evidence that
the public or private ASP sites were approved is in the emails exchanged by
the Steering Committee at the time, the fact that asp-afg.org is our public
website and the fact that the new site appears at the bottom of all ASP
emails. There is no official motion or vote on the record. Laura felt that
this was needed and I tend to agree. Both Steve and I noted that the
website belongs to ASP as a whole, not just the Steering Committee, so all
members should have the opportunity to approve it and authorize any
changes. I thought it was important for the Business Meeting to see the
process by which the public and private sites were approved, so I composed
several documents from the text of emails exchanged at the time, mostly
between myself and the Steering Committee.

Introduction:
Jane Srygley was voted in as ASP Webmaster at the Business Meeting in
October 2014. At the time, ASP had a html site online for both the public
and the member sites that had been designed using Front Page/Expression
Web. Jane ran into some difficulty downloading Front Page/Expression Web on
her computer, so she first discussed it with Steve Rankin and then brought
it to the Steering Committee.
The document entitled "Website Decision 2014-Switching to Wordpress"
details an exchange of emails which began on 11/30/14. The first email
exchange is a private conversation between Steve and Jane. All other emails
were addressed to the entire Steering Committee unless otherwise indicated.
Additional pertinent emails are included at the end.
After the public website was approved using Wordpress, Jane Srygley
(Webmaster) started work on a new member site. The document entitled
"Members Only Website Decision 2015" contains the text from email exchanges
regarding the approval of the member site by the Steering Committee. All
emails were addressed to the entire Steering Committee unless otherwise
indicated.
The Steering Committee during this period consisted of Jane (Webmaster),
Steve (ASP Founder), Cyndi (List Administrator), Melanie S (Secretary),
Melanie H (Treasurer), and Apryl (Greeter Chair).
