I'll try to answer your questions directly. Holler at me if I miss
something, OK.
BJ:
1) Is there no way to remove the bouncing addresses from the member list
preventing the huge number of supposed members?
Steve:
I'm not certain what you mean when you say "bouncing addresses". It's been a
while since I handled this personally, but as I recall when the server
receives notice that an email address bounced X number of times, the server
sends a note to the List Administrator and temporarily suspends delivery to
that address. Note, I said temporarily which actually means very
temporarily. It's up to the LA to unsubscribe an email address. In reality,
this rarely results in any action.
Or, are you referring to what are dead email unattended addresses?
I'll create a fictitious example. A newcomer to Al-Anon named Mary joins ASP
using a NEW Gmail address. Like most newcomers, she's already overwhelmed
with living with an alcoholic, so the combination of having to log into a
separate email address and then discovering 40+ emails/day there, she soon
quits bothering. But, the server continues to email shares to that address,
and will continue to do so until that email address is unsubscribed.
The solution that we have used at ASP is to periodically purge the list of
email addresses subscribed on the server. The process is simple, albeit a
bit of a bother for the List Administrator. The LA sends out 2-3 notices
over a few weeks telling members to simply respond to the notice. That's it,
just respond. Crazy simple. Then, at the end of the few weeks/month
deadline, the LA unsubscribes any email address that did not respond.
Of course, there are always a few that don't read the notice and get
subscribed, but they do notice that they were unsubscribed, so they write
the LA about it. BTW, a few means about a half-dozen. And, of course, a few
of those are rather resentful about it. :-(
I did this about every 18 months to 2 years. The number of email addresses
on the server would shrink from around 900 to around 150-200. I have no
problem with members not sharing and instead just reading our shares. That's
no different than the member that doesn’t share in the f2f meeting. I
sponsored a young woman in f2f AFG for years that was so broken when she got
here that she couldn't even sit in the f2f meeting, she sat in the hallway
and listened. Then disappeared into the night in Oakland, CA.

2) Is there no way to limit the number of past recovery shares that are
'archived?
For example: Some groups agree on retaining, say, 6 months worth of
shares. When a new month of shares finishes, the oldest of the 6 month
retained shares is deleted.
Steve:
No. This is an all or nothing archive with a couple of adjustments I've
described in detail below.
FWIW, I don't understand what the principle would be for a group to maintain
an archive, yet delete shares older than some arbitrary age like 6 months.
Maintaining an archive has negligible effect on the server's work load. The
current archive consists of 152 files totaling 143 MB. This is nothing
compared to the 90,000+ emails sent out every day.
The archive choices are:
→ Archive messages?
(No) (Yes)
→ Is archive file source for public or private archival?
(public) (private)
→ How often should a new archive volume be started?
(Yearly) (Monthly) (Quarterly) (Weekly) (Daily)
The current selections are:
→ Archive messages?
(Yes)
We do maintain an archive
→ Is archive file source for public or private archival?
(private)
The server requires a login to access the archives
→ How often should a new archive volume be started?
(Monthly)
The archives are organized into monthly volumes. In other words, if
you went to the archives, you'd see them listed by year and month.
