Good morning, all,
Mary noted the following:
"I hesitate to volunteer for treasurer (or secretary) because I cannot envision how the process works. I read the job description on the website, that doesn’t tell me hardly anything about how much time it would take or the hoop jumping that I would need to do. Until these questions are answered for me, I hesitate to volunteer. That doesn’t mean that I am unwilling, I just need more information."
Because I've been treasurer and am currently tackling the secretary chores I may be in a position to add some details...
Treasurer
Preparation
~ Open up a local post office box
~ Have name added to ASP's permanent bank account
~ Get added to ASP's PayPal account
~ Get familiar with treasurer recording/reporting
- Monthly treasurer's report to the BM
- ASP's Tradition 7 spreadsheet on the website
Normal chores
~ Retrieve checks from po box (weekly +/-)
~ Mail checks to bank a time or two a month
~ Track and record PayPal deposits
~ Keep the Tradition 7 website spreadsheet current
~ Financial report to the Business Meeting monthly
Steering Committee
~ Participate in making up the Business Meeting agenda
~ Participate in the Business Meeting
~ Back and forth email within the Steering Committee
Estimated total time per month (after setup is complete): 2-4 hours +/- depending on post office visits and how much contemplation time one chooses to devote to the job. Setup takes more time, but once done shouldn't need revisited...
Secretary
Preparation
~ Become familiar with ASP's website, founding policies, group consciences, practices, and ASP's version of Knowledge-Based Decision Making (KBDM - which we use for our Business Meetings,) and our voting procedures.
Normal Chores
~ Chair the Business Meetings using the Steering Committee's provided agenda and guidelines.
~ Every six months call for new Topic Chair volunteers, choose and assign the chairs, and provide them with the information and guidance they'll need to chair the topic meetings. (All information is available for them to cut and paste.)
~ Answer Topic Chair questions and monitor topic chair formats.
Steering Committee
~ (As for Treasurer above.)
Estimated total time per month: 2-8 hours a month depending on email traffic and items under discussion in the BM or SC. Add to this your contemplation time.
Backup to List Administrator
~ The Secretary is the #2 List Administrator backing up the LA if and when it's needed. Consequently the Secretary needs to become familiar with the technical operation of ASP. Support is always there if this need arises.
I hope this answers most of Mary's questions. Input from other past trusted servants where I omit necessary or include unnecessary things, please.
