Hi Tori,
Thanks! This MIGHT be something that we could do. There are some issues that would need to be addressed, such as:
1. Cost #1. Does our current account with Zoom allow us to hold a "meeting" with a group larger than our Steering Committee? I'm guessing that we would need to make changes to our Zoom account, which would probably incur additional expenses to ASP. Anne would know more about this than I do as she is the one that set up our Zoom account and knows about that stuff.
2. Cost #2. Once we knew about the financial impact(s), we could discuss things like (a) number of members participating, (b) frequency (monthly, quarterly, ?). Going back to when I was a District Rep, my District held speaker potlucks randomly. They were randomly successful, so I upped the ante and made them monthly. Within 3 months, attendance went from 20-30 to over 100. My gut feeling is that ASP might see 50-100 ASP members attend.
3. Cost #3. Do we limit participation to ASP or not? Obviously, this needs to be discussed in the Business Meeting. The BM may decide to limit attendance, or to give that decision authority to the Steering Committee, or to . . . ???
4. Cost #4. Does ASP absorb this cost into our annual budget? Or do we develop a way of passing the basket? Or do we simply request a donation/door entry fee to participate. It's easy to pass the basket in real-time in a face-to-face speaker meeting; not so easy in a Zoom meeting.
4. Workshop Chair. Who chairs the workshop(s)? My current thinking is that the Workshop Chair would be appointed by the Steering Committee. This would avoid having to elect new Workshop Chairs and give the Steering Committee working oversight on the workshops and the ability to make adjustments and/or course corrections quickly, if needed.
5. Limits on Topics. More thoughts for the Business Meeting and Steering Committee. For example, we have a long history at ASP of not having a sponsorship list (a list of members who are available as sponsors). We do not do this for a variety of reasons. . . for instance, unlike a f2f meeting, it is impossible for us to vet anyone that wants to be on the list, experience has shown us that folks that want to be on such a list are not necessarily the best choices for being a sponsor.
So, in the case of a Sponsorship Workshop, we would not want 'speakers' promoting something that is contrary to ASP practices and policies.
6. Format. I'm envisioning two possible formats. There may be more. One is a Workshop format with multiple short speakers, say 10-minute talks each, with a discussion Q&A after. Second is a pure speaker-meeting with a 30 to 45-minute speaker, possibly with some fellowship time after.
Lastly, the decision on whether to venture down this path belongs to the membership in the Business Meeting. I would like to suggest that we put this on the agenda for a future March Business Meeting.
