Greetings,
I have been reading the business meeting on the archive topic. I too keep some ASP emails for future reference or to read again I was unaware we had any archives of shares until 2 meetings ago. After reading the below, there are 2 archives, one for the business meeting and one for the recovery meeting archives. I would suggest keeping the business meeting archives and keep adding to this page on the ASP website.
As for the recovery meeting archives, I tried accessing without success, because of my lack of computer knowledge and skill. I would suggest #2 below, delete ALL archived shares and turn off archiving - so we would not have an archive of any shares.
Also, I am hearing the Steering Committee uses the data for reporting or handling any troublesome emails. Option 2 would preserve our anonymity. Is it necessary to capture the data? I.e. How many shares per day, per month, how many members, etc.... At my last face 2 face meeting, everyone was welcome, attendance varied, there was no sign in sheet that I can remember, and we did have our service positions rotated.
I am also open to the majority vote of the group.

The Business Meeting archives are separate from the Recovery meeting
archives. The recovery meeting archives are here:

And you will need your ASP password that you received when you first

Unfortunately, there is no easy way to move or delete files from the
archive. I contacted our technical support during the last meeting about
deleting shares older than 30 days and this is what I was told:
"Turning off the archive option will not physically delete the archives.
It will only stop future messages going into the archives. There is no
way for you to reset the archives. We would have to delete all the
archives and start with a new archive.
Unfortunately there is no way to schedule deletion of archives older
than 30 days. The reason are all the various links etc which need to be
updated. The actual archive is stored in a single file. You would have
to write some code to write that single file, remove all messages which
are older than 30 days and then re-generate all the archive files from
scratch."
This same answer will apply to deleting archives older than 5 years. Our
only options from a technical perspective to change from what we are
currently doing are to 1) delete ALL archived shares and start over a
new archive or 2) delete ALL archived shares and turn off archiving - so
we would not have an archive of any shares or 3) Turn off future
archiving of shares, which keeps the existing shares in the archive.
