Hi ASPers,

 

Welcome to the ASP Business Meeting for August 2012! 

 

The address for the business meeting is:  businessmtg at asp-afg.org .  This is
the address you will use to send in shares to the Business meeting.  Please
do not send your business shares to the recovery meeting.

 

There are two basic topics before ASP; one is critical to ASP, while the
other is significant but not critical.  We will address the critical topic
before proceeding to the second topic.  

 

1.  Election of new officers.

 

2.  Financial affairs.

 

 

A brief Summary of the topics:

 

The day-to-day operation of ASP is managed by elected officers; each serving
in a specific capacity, yet with some alternate coverage as needed.  I have
included the complete job descriptions for each officer at the end of this
post below the line.  

 

I'll have to say that I've been quite impressed over our 16+ year history at
how well our officers work together as a team.  Certainly, we've had some
exceptions and we're meeting now as a result of one of those exceptions -
namely that two of our officers are AWOL.  In other words, we do not have
either a Secretary or Greeter Chair at this time.  

 

We are going to start by electing a new Secretary.

 

The good news is that Melanie is willing to serve as Secretary, and has
provided us with her Al-Anon resume.

 

The process will go like this:

 

1.    We announce that the position of Secretary is open. 

 

2.    Any member of ASP meeting the qualifications** for the Officers of ASP
may make themselves available.  The qualifications to serve as an officer of
ASP are listed below under "Important Notes".

 

Members make themselves available by providing their Al-Anon resume to the
Chair of this meeting.  If you are interested in making yourself available
for one of the ASP Officer positions, please complete the resume form and
submit it to me no later than midnight, Friday August 3, 2012 (Pacific
time).  To obtain a resume form, go to
http://www.asp-afg.org/Archived%20Pages/index.htm and beneath "Resume" click
on either format (MS Word Document, Adobe PDF or HTML).  Save the format,
complete and email back to me at steve at serenitysys.com.

 

3.    The deadline for submitting a resume is Midnight, Friday August 3,
2012.  Pacific Time.

 

4.    The meeting will re-open so that members may ask the candidate(s)
questions.  Please keep your questions appropriate to Al-Anon.  Do NOT post
messages unrelated to the election of the Secretary.

 

5.    The Q&A period for the election of the Secretary will close at
Midnight, Monday, August 6, 2012 UNLESS there is some highly unlikely and
unforeseen issue that suggests that we need to continue the Q&A session.

 

6.    If we do not have more than one member available for the position, the
Chair will entertain a motion to elect the new Officer by acclimation - it
will require a vote however to affirm such a motion.  

 

7.    The Web Master will create a polling page on the ASP web site which is
how we will actually vote.

 

8.    We will announce the location of the polling page - this sometimes
takes a day or so.

 

9.    There will be no discussion while the polls are open - the Business
Meeting server will be on moderated status while the polls to ensure that
this protocol is not violated.

 

10.  The poll will close at Midnight of the third FULL day after the polling
page has been announced.

 

11.  A simple majority is required to elect a Trusted Servant at ASP.

 

12.  The Chair will announce the outcome of the vote/poll to the Business
Meeting, and the List Administrator will make a similar announcement to the
ASP recovery meeting.  Normally, the Secretary would be chairing this
meeting and make the announcement to the ASP meeting, but we don't have a
Secretary so I'm filling in.  

 

 

 

IMPORTANT NOTES:  

 

A. The prerequisite to serving as an ASP officer: "One year's participation
in ASP is a prerequisite to serving as an officer of ASP.  Participation may
take many forms, but merely having one's email address on the ASP server is
not participation."

 

B. The prerequisites for ASP List Administrator: "A member of ASP must have
served ASP in some other officer capacity for 1 year in addition to any
other minimum qualifications for ASP Officers."

 

C. "Members of AA who are also members of ASP are not eligible to serve as
Officers of ASP or on the ASP Steering Committee."

List Administrator  

        The primary leadership position of ASP

        Chairs the Steering Committee

            Primary spokesperson for the Steering Committee

            Deals directly with members of ASP regarding ASP policy &
practices

            Makes autonomous decisions regarding ASP affairs, when needed

            Keep others on Steering Committee thoroughly informed of all
communication involving or representing the Steering Committee

        Responsible for technical administration of the ASP mailing list

        Meeting Contact

            Primary contact person with WSO

            Online meetings are not "Groups" and therefore do not have GRs

        Serves for three years

 

Secretary 

        Chairs the Business Meeting

        Responsible for the Daily Chairpersons in the ASP meeting

            Appoints Daily Chairpersons to 6 month position

            Instructs/trains Daily Chairpersons

        Alternate List Administrator #1

 

Greeter Chairperson 

        Chairs the Greeter Committee

            Appoints Greeters

            Instructs/trains Greeters

            Oversees greeting process

        Alternate List Administrator #2

 

 

Web Master 

        Maintains ASP web sites

            Primary ASP web site open to the public

                Source of information about ASP for non-members

               Primary gateway for joining ASP

            Secondary ASP web site for ASP members only

                Source of administrative and business information to ASP

                Subscription status access for ASP members

                Archive access for members

Treasurer

        Administers the 7th Tradition at ASP by Passing the Basket monthly

            Accepts donations from ASP members

            Deposits funds received in a bank account

            Disburses funds as necessary to pay ASP financial obligations

            Reports monthly to Steering Committee and Business Committee
