It was never my perception that there was any "irresponsibility" or "intention to hoard." 

Those are your choices of words and not at all related to anything in my note to the meeting. 

  

My sole intent was to state the actual figures involved instead of having the misperceptions 

continue that we now spend - and will continue to spend - $300 a year on Beginner's Packets. 

That's just not factual. We can only address our Funds in Excess of our Prudent Reserve - the 

current business topic - by accurately identifying what one-year's expenses actually are - the 

accepted definition of our Prudent Reserve. 

  

Group Consciences require that we become fully informed and then make decisions. Making 

decisions based on inaccurate information isn't wise nor proper. Whether the reason is that 

new members aren't asking for packets or we aren't informing them well enough of their 

option makes no difference to this topic. As it stands we have never spent $300 a year 

on packets and so have no reason to believe we ever will. 

  

I'd love it if some day we do, but that's another topic for another day. 


  

In passing I'd like to add that the $500 for incorporation that was mentioned - even if ever comes 

to pass - is a one-time expense and not an annual deal though other related costs would become 

annual expenses. You will recall that the reason for incorporating was the new banking rules set 

up after 911 which made opening up bank accounts for ASP very difficult when Treasurers rotate 

out of office. Since that particular difficulty was handled without the need for incorporation, we 

currently have no need to consider incorporation that this group has been made aware of, and, in light 

of the WSO's strong objection to individual AFG's incorporating, I'd suggest it is quite possible that 

we never will. 

  

As you can tell I'm in favor of using current, known figures in our work and propose that we 

use only those figures that we can be certain of or reasonably project. Future years may bring new 

P.R. figures, but for now that $1,301 figure is still pretty close to accurate - maybe with a couple 

of hundred dollars tossed in for software updates as our expense reports seem to indicate. A best 

guess for a current P.R. amount would be to add up our total outlays for 2012. Easily done. We could 

then disburse donations in the amount we hold over this figure and work out a more accurate number 

for our next quarterly donation between now and the end of March. 

  

Sitting on money is not a good option. Trusting that our Higher Power will continue to provide for our 

needs is. We have no reason to believe otherwise.

Hi everyone- 

With respect to Newcomers Packets.... the Steering Committee had a 'skeleton Crew' for some time.  This means,  no secretary, no webmaster and no greeter chair for most of the last two years if not longer.  As a consequence, the former list administrator and Anne were pulling double and sometimes triple weight just to keep things running day to day-  gratefully!   In fact with the recent election of Raine we finally have a fully loaded SC for the first time since I have been a member 3 years.  Additionally the member who had volunteered to handle the packets is no longer active. 

The only reason newcomers packets fell off the priority list was lack of bandwidth to keep up with an average 40 new members per month and most certainly not any financial irresponsibility and it was never an intention to hoard the funds for this service with no intention of re-establishing the program.

Thanks for your note. You can go to our Members Page (see below - way below 

at the bottom of all (most?) of the ASP letters we receive.) 

   

There there find the button for "Seventh Tradition." Then look for "Financial Reports." 

By going there you and any member can access every financial transaction ASP 

has ever made, line by line. Completely transparent (and much appreciated by the WSO.) 

   

It starts from the month that ASP became self supporting - when Steve turned over 

the reigns and his sole financial support - and is updated every month. 

   

Don't get me wrong - Beginner's Packets are wonderful. (I just found my original one 

yesterday! Yipee !) For some reason, though, they haven't taken off with our newcomers 

here at ASP. So as we address our Prudent Reserve and the resulting Excess Funds 

we're now talking about, accurate info is important to the discussion.

Jerry, 

Please show down a bit. There was a lot of info you've just provided. 

I'm visual so I need to see perhaps a cash flow or profit and loss statement. Is that available somewhere? 

A P&L sheet will be very helpful in looking at the current situation and in creating a budget for the year ahead. It will also force us to look into sending people to those events you mentioned and other future expenses. For example, I didn't know that we don't give out packets to newcomers anymore although that was the group conscience in the past.
