[Businessmtg] ASP May Business Meeting: Discussion about the ASP Website Information Board

Hi,
Thanks to everyone who has already chimed in about our current business
meeting topic about the ASP website Information Board. There are a couple
of common questions that have been asked and so I wanted to address those
here.
There is an Information Board on our website. However, it is not current.
Over the years of natural drift that every organization experiences and
changes in webmasters, the content has become out of date. The current
policy is that if anyone has something to put on the Information Board it
is to be sent to the Webmaster to be posted. No one has suggested updates
in a very long time. Therefore, the Steering Committee consensus was that
we need to be more clear about what should be posted and who should post
and be responsible for getting and keeping the Information Board current.
There have also been a couple of comments about the responsibilities of the
Secretary and if the Information Board will add too much responsibility to
that role. When we were discussing Motion 4 earlier in the month, Steve
presented information about the current role of the Secretary. I think what
he wrote is pertinent to this question. Below is a quote from Steve about
the Secretary's duties.
"Currently, the Secretary has 2 duties. Chair the Business Meeting and
oversee the Daily Chairperson in the recovery meeting. Chairing the BM
takes some level of daily attention, but only every other month.
Overseeing the Daily Chairs is pretty much a once-every-six-months job."
In terms of the additional proposed duties for the Secretary that would
include updating the Information Board, Steve noted, "Most changes to the
website tend to be (a) small and simple and (b) to occur during the off
months, so the additional duty is minor. However, our recommendation
(Motion 4) is to allow the Secretary to appoint an assistant that will do
the actual work on the website. We are calling the assistant the Recording
Secretary as that better describes the job."
The Steering Committee's belief is that until changes to Motion 4 are made
(potentially adding a Recording Secretary), the current acting-Secretary
(Steve) or Anne K, our current Webmaster who has agreed to remain on the
Steering Committee during this transition time, could get the Information
Board up to date.
The Steering Committee believes that the members of ASP should have a voice
in this relivilzation topic.
