Hi Marilyn,

I think incorporation will solve the largest issue which is the banking piece and privacy concerns many have.  Beyond that I think that there are some other improvements that we are discussing within the SC.  For example - setting expectations needed to do the job, the title and job description may not be a clear enough outline - we do want volunteers to succeed and go into the position with eyes wide open. While we like to say that jobs are "easy", we need to be sure that we are clear that these service positions are jobs and there is an outline to follow.   I think things got a little muddy more than a few years ago and the treasurer outline might have gotten lost along with any process handoffs. 😊

Essentially, Jerry defined the treasures position when he became our first treasurer sometime in 2006.  He "trained" me and  I followed his approach and passed it on when I stepped down from the position in 2014.   This is what was setup originally by him and what we currently expect: 
an  excel spreadsheet  is used to manage the ledger - it has formulas assigned to multiple cells, so if we continue to use excel, a pre-requisite to the position may be  a comfort level/willingness to work with MS excel or open source spreadsheets.  The treasurer's job  each month is to be sure that income and expenses are managed, logged and then reconciled against the bank account at the end of each month.  No one has to be an expert in excel or have a degree in accounting,  they just need to be willing to learn and own the spreadsheet and reconciliation while they are treasurer. 

It has also been a little messy sharing the work with Steve, coordinating schedules is not always easy and it has taken me about 4 months to settle into a routine; it now seems to be working and we could easily pass this current state  to someone who is willing to take it on now.

Once we are fully incorporated, that process will need to be tweaked again.  I expect things to improve greatly when that happens.

Adjustment of the ledger to match the actual amount in the bank sounds reasonable since your have made every possible effort to reconcile the numbers. We're all human and mistakes happen.

Other than incorporation to eliminate the burden for the Treasurer to submit their personal details to the bank, does the SC have other insight as to keeping the Treasurer position filled?
