When it comes down to it, here are the options:
1. We keep all the archives and maintain the status quo with all members
having access.
2. We keep all the archives and allow all Steering Committee members
access for business purposes.
3. We keep all the archives and allow just the List Admin and Founders
access for business purposes.
4. Remove all archived files and no longer keep records.
Consensus is that number 1 is not an option, most people are in favor of
having a change - this has been established. So, let's remove that option
and stick to discussing 2-4.
Considering these options as the current list administrator, I am leaning
toward option 3 because it makes my job easier. Instead of trying to find
an inappropriate share on my own computer (which can be a mess sometimes),
it is easier and more appropriate to review it from the archives. I cannot
rely on someone sharing it with me, as they could have modified the
message. Coming directly from the server ensures honesty. When it comes to
reporting stats on the health of the organization. Without the archives, I
would have to devise my own method of keeping track of the number of shares
per month on my own computer. The founders are my back-up in case of
absence, so their access is also appropriate.
I know there are people in our group who keep all the shares from every
meeting on their own computers and to me, not only is it unnecessary, but
honestly a little creepy, but whatever...it's out there and I have chosen
to be part of this email group, so it is what it is.
If individual members are able to do this on their own computers, then what
is the harm of the server keeping it under password for all members? If
there was a way to limit the archives to a certain time period, I would
agree with that -- going back to the dawn of time is a little ridiculous.
However, that is not an option. I know some have thrown out some solutions
for that, but that is not what this discussion is about. One step at a
time...
I'd like to see some more discussion surrounding options 2-4 since option 1
is not an option anymore.
I will adjust my work as List Administrator accordingly for any group
decision that is made.
