Hi all,

I motion to stop saving the emails of member shares. It supports total anonymity. If an email is gone, so be it.

Thank you,
Kathleen H

Subject: [Businessmtg] Archives

Hi everyone,

Details of Motion 19 that Jerry referenced are below (this is from the
Group Conscience webpage here
https://asp-afg.org/members/group-conscience/).

I would like three consequences of not having archives to be considered
in this discussion as part of an informed process.

1. Some members currently use the archives as a way to access shares due
to issues with their emails receiving ASP shares.

2. The archives are currently used to assess some measure of ASP's
health. One of the 3 things I monitor in the LA reports is the # of
shares per day. I get that from the archives. That will not be possible
if the archives are not there.

3. There are instances where the List Administrator needs access to
archived emails in order to properly respond to members. Specifically
instances where members raise concerns about other members shares. I am
the current list administrator and I do not save many shares in my email
system. So once I read a share, I delete it. That is how I handle my own
email as a member of ASP. Well when a member then reports an issue with
someone else's share, I will go to the archive to look at that share and
other related shares that might have the same issue. I would not be able
to do that without an archive. I also strongly believe that it is not
incumbent on the List Administrator to have a personal archive of shares
to deal with these situations. Not having an archive will limit my
ability to respond in depth to certain concerns that arise. These do not
happen frequently. I have had to do this probably 8-10 times in the 2.5
years I've been List Administrator.

Last, I have sent an email to our server support asking for details
related to this discussion. I will forward the response when I get it.

Hugs,

Lynne
